Project overview
WooCommerce stores often need order statuses to change when something happens outside WordPress: a shipment leaves the warehouse, a payment clears, or an external system updates an order. A project called for changing order statuses through a custom API, so other systems could drive status updates automatically instead of someone editing orders by hand.

The Challenge: Manual Status Updates Do Not Scale
When staff have to open each order and change its status manually, updates lag behind reality. Customers see stale statuses, follow-up emails go out late, and the team wastes time on repetitive admin work. Worse, manual updates are inconsistent: the same situation can end up recorded differently depending on who handled it.

Custom API Solution
We built a custom API that lets authorized external systems update WooCommerce order statuses programmatically. The API validates each request, maps external events to the correct order status, and logs changes so the order history stays auditable. Common flows such as processing to shipped to completed, as well as holds and cancellations, are handled through the same consistent mechanism.

Results: Automated, Consistent Order Flow
Order statuses now update automatically as events happen in connected systems. Customers see accurate statuses sooner, staff spend less time on manual order admin, and the order history remains a reliable record. The store’s order workflow runs on rules instead of reminders.
